Catering Food Basic Tips

The first step is to develop a catering checklist. The checklist must answer all the questions in as many details as possible and serve as a chronological guide to manage the program - I actually learned this from my mother and it works. However, feel free to flip, reverse, add-to and customize our process to fit the requirement and make your gathering event a success. 

  • Event Catering Type. What kind of event is it? A corporate meeting with a catering lunch platter for lunch-and-learn event for 2 customers and 3 salespeople, is definitely different than 300 high school kids pizza catering for Christmas party.
  • Estimate how many people. Get your headcount
  • Special Food Needs and Restrictions (this is a biggie). Once an event planner ordered all meat meals to find out later that the CEO and their largest customer were vegetarian 5 extra minutes planning would have helped. watch out for
    • Food Allergies (Lactose, Nuts, Diary, Celiac, Capsacian intolerance)
    •  Vegetarian vs Vegan (we do not know the difference and no one knows but your audience)
    • Religious (Kosher, Halal among others)
  • Estimate the duration of the event. The length of time is an important factor when determining how many items to order. A 20-minute meeting probably requires fewer items than an event that lasts 4hrs. People will more likely to go for seconds and thirds -guaranteed.
  • Catering Configuration 
    • Plater "A La Carte" Full-Service table. Really who does not like being served? But requires more preparation
    • Buffet Style Catering (more common, easier to setup)
    • Hybrid: Mix between Plater and Buffet
    • BBQ
  • Understand and properly size your catering "tray" options
  • Do you need utensils? Have a quantity of 3 for each person on each item and 5 napkins per person.

We were surprised to find out that people drink about 3 to 4 beverages each. Yep: water is not included. Coffee drinkers consume about 3 cups of 8 Oz coffee per day.  When ordering sodas consider adding diet flavor, or sugar-free. Typically 4 portions of classic flavor for each "diet-flavor" soda.  

Appetizers Catering Portions

As the old saying goes, "Sharing is caring". Not so fast, maybe not. More often than not, an appetizer portion would be enough for 3 people. It gets tricky when you have more than one appetizer available as appetizers seduce them to try the "others person" appetizer. Usually, someone else asks have you tried this calamari? And here we go the sharing and tasting game starts. Unlike appetizers, deserts portions are more predictable.

Dessert Catering Portions

Usually, a slice (cake) is good for one person. Many are on torturous weight watch program and do not care for a yummy Tiramisu, others treat themselves occasionally with one portion managing guilt and happiness. Very few double or triple down on the sweet bites. To be on the safe side one piece per person should be plenty. In the end, it kind of evens-out automatically, no one asks for dessert if you run out. Leftover? Then easy - you have tomorrows breakfast or take it to your office or neighbor they will love you at least temporarily. 

Dinner Catering Portions

Eating habits during events are really different than daily eating habits which turn quickly into managing expectation. While people may be satisfied with having a wrap, a sandwich or sometimes one slice of pizza for dinner or lunch. During events, expectations dominate the game, we have seen people requiring 1) the main course, 2) a salad and 3) a side dish; on top of that many guests require 4) a soup. Chicken Francaise and Pasta with red sauce or pink vodka SAUCE have been popular and proven to be satisfying and nutritious. However, steaks have not been known to be optimized for catering for food delivery.

Lunch Catering Portions

It's quite a mess here. For Business catering, the rules are simple always order extra its almost guaranteed whatever leftover you have, will grow legs by 5 pm. We see it day-in, day-out, leftover lunch in the cafeteria will be consumed by someone who decided to skip lunch but then the odor of the food and aroma of the spices makes it tempting where irresistible is the proper side of the spectrum. Anything on the menu works fine, from catering sandwich trays, wraps trays, pasta trays etc...

Habits here are one meal is enough for one person, with a salad being highly appreciated. But neither a salad or side order are required. That is how the majority of lunch catering in Union City and Weehawken have been ordered. To keep awake and prevent your guests from falling asleep after lunch, serve between 4 and 6 Oz with plenty of water and beverages.

 


Is Pizza Good for Catering?

Fact: pizza is the most popular food in the world, chances are, motivation goes hot with Pizza on the table. Just mention free pizza and bam, everyone is in the meeting. So, typically for corporate events such as Christmas or Thanksgiving party, 5th, or 30th-year company party, Catering pizzas might not be your best option. However, for lunch and learn, farewell, relocation goodbye you better believe it - pizza catering it is your best option.

Here are few portioning rules of thumb:

-3 slices per person from a large 16" pie.

-It is always prudent to order at least a tray of salad, some bottles of Poland spring water and mixed flavor 2L-Soda.

 -Order at least 3 flavors, Cheese pizza, Vegetable pizza, and Meat or combination of Meat and Veggies.

When ordering Pizza for yourself, Pizza toppings selection is a matter of taste and preference, for Business Catering or Birthday Catering it is not as trivial. Our recommendation is to pick the most popular items to be on the safe side.

Successful Food Catering Delivery Checklist

Planning is the art of execution not having one is a recipe for a disaster - we know a thing or two about recipes.

  • Order Ahead (at least 48hrs in advance - good restaurants manage food inventory properly and usually keep low inventory to maintain freshness the last thing you want to hear is we run out of this or that). Pizza dough needs about 12hours to rest avoid same day pizza catering.
  • Make sure the restaurant has:
      • The correct address
      • Delivery time window
      • A contact person with a phone number
      • A backup contact person with a phone number

    (ideally typed and faxed or emailed we cannot stress enough.)

  • Make provision to have the food delivered at least 20min ahead of time. This should be plenty of time to prepare whatever you have "buffet" /tables and to account for unseen events
  • Make about a 50% deposit and get a receipt.
